- Who we share that personal information with and for what purposes;

What types of personal information do we collect?

The information we collect about you will depend on the type of interaction that you have with us. We may collect personal information about you through our interactions with you, including via our website and other digital services, social media and other contact that you have with us (eg, by email or phone). The types of personal information that we collect includes:

- Supporter information about our supporters and participants in fundraising campaigns. This may include contact details, dates of birth, event attendance, relationships with other supporters, banking establishment and donation dates/amounts.

- Records of communications and interactions with us including in relation to the RMHC© New Zealand fundraising programme which could be through our digital services including our website and social media channels.

- Donor and payment information, [such as your name, address, credit card details, and donation dates/amounts] in order to arrange for payment of donations and providing you with a receipt. [If you make a donation through our website or via Raisely, you will be directed to one of our partners to make a credit card payment. All direct payments processed by our partners on our behalf are made using a Payment Card Industry Data Security Standard (PCI-DSS) compliant payment gateway, which helps ensure the safe and secure handling of your payment information. We do not store any of your credit card informati
on ourselves.]

We also collect other information from people who use our digital services (for example, analytics information and cookies). Please see the section below for more information about this. 

How and for what purposes do we use information about you?

We may use the information that we hold about you to:

- process donations you make, including supplying receipts for donations;
to thank you for your donation and send donor acknowledgement letters and donation requests;

- inform you about upcoming fundraising activities, events, presentations and other activities of RMHC© New Zealand, if you opt-in to receiving marketing communications from us (you may opt out at any time);

- provide marketing communications and targeted advertising from us, if you opt-in to receiving marketing communications from us (you may opt out at any time);

- run competitions, promotions and prize draws from time to time;
to verify your identity (e.g. if you wish to confirm or query any information that we hold about you);

- carry out data analytics using aggregated data for the purpose of providing us with insights about use of our digital services; 

- maintain and update our databases and other records, and to respond to enquiries from you; for our business purposes, including internal analysis and record-keeping; and for any other purpose indicated at the time you provide information to us, or as otherwise agreed with you or permitted by the Privacy Act 2020.

Can I keep my donation anonymous?

Supporters who make donations have the option to have their name publicly associated with their donation. All donations will be anonymous unless the supporter explicitly chooses to have their name associated with their donation. If any information given to RMHC© New Zealand at the time a donation is made could either directly or indirectly identify the supporter, such as comments a donor might provide about their reasons for making the donation, we will ask your permission before using that information in any promotional materials or other publications.

Can I opt out of receiving correspondence? 

You can opt out of receiving correspondence from us anytime – either from specific correspondence or offers, or from one particular channel (e.g. email or telephone) altogether.

There are a number of ways you can opt out.

Who else might my information be used by or shared with?

In addition to accessing and using your personal information for the purposes described above, we will sometimes share your information with others. We will only do that if it is necessary and consistent with our obligations under the Privacy Act 2020. We will disclose your personal information if we are required to do so by law.

Examples of who we might need to share your information with are:

- Our service providers and agents (for example, cloud service providers, credit card companies, companies that we engage to run fundraising activities, and data analytics service providers)

- Emergency services, if necessary because there is a risk to health or safety our professional advisors RMHC© New Zealand will not sell your personal information to third parties.

Some of the persons and business that we share information with may not be based in New Zealand. We will only transfer information outside of New Zealand if we are permitted to do so under New Zealand law.

How do we hold information about you and keep it safe?

We take data security very seriously. Your information may be stored using secure cloud service providers who may be based in countries other than New Zealand. We have taken all reasonable steps to put in place appropriate physical, electronic, and managerial procedures to safeguard and secure personal information, and protect it from misuse, interference, loss and unauthorised access, modification and disclosure.

If we share personal information with our agents or service providers, we do so securely, and take steps to ensure that our agents or service providers will handle your personal information in a manner consistent with the requirements of the Privacy Act.

What data do we collect? 

We collect a range of information in relation to our digital services (which include our website and social media channels), including the following.

- Technical information and analytics.
If permitted by your browser and device settings, our website automatically collects certain information about how you use the website to help us improve the services that we provide. This includes technical information such as: 

- The IP address of your device (which might identify your location), login information, your operating system, browser and device details when you visit or use the website, how often you use it, and information about how you interact with the website.
- Cookies – information automatically placed on your computer.
Information is collected via your use of the our website and our cloud-based platform, Raisely (for [some] donation services), through cookies. Cookies are small data files that your browser stores on your computer when you visit certain websites. Cookies allow us to collect information which we use to help us remember the information you enter. It is possible to disable the acceptance of such cookies from your web browser. However, doing so may restrict your ability to use our website and/or ease of making a donation. We also promote our products and services using third party vendors, such as Google Remarketing, as a method of targeting our advertising based on how you interact with our website. Both we and these vendors may use cookies to help offer you online ads that are more specifically tailored to you when you visit other websites. These cookies contain no personally identifiable information, they cannot damage files, nor can they read information from the hard drive of a computer. You do not need to accept these cookies, however, and can find more information about opting out by visiting the Google cookies opt out page.

Some information we collect in relation to our digital services is not related to an individual. In many cases, the information relates only to a device or is of an aggregated or statistical nature, and we will have no way of knowing the identity of the user. In other cases, we may associate information about your use of our digital services over time with your personal information, e.g. when on any occasion you have logged in, followed a link sent to you by email, or we have otherwise been able to identify you.

Our online services may contain links to other sites. We are not responsible for the privacy practices or policies of those sites and recommend that you review their privacy policies.

How can I access or correct my information?

Under the Privacy Act 2020 you have the right to access and request a correction of your personal information. If you wish to access or seek correction of any information we hold about you, or have any feedback or concerns about privacy, please contact us as set out below.

If you contact us, we will let you know who will be handling your matter and when you can expect a full response. In the case of access and correction requests, please provide as much detail as you can about the specific information you seek to help us retrieve it. If we decide not to make a requested correction, you may ask us to attach a note of your requested correction to the relevant information, and we will take all reasonable steps to do so.

To ensure that your recorded personal information is accurate and up-to-date, please notify us of any changes to your personal details as soon as possible through the contact details at the end of this statement.

How long will you keep my information for?

We will retain your information in accordance with our obligations under New Zealand law.

We will not keep your information if we no longer require it for a lawful purpose.
